Inventory Management System User Manual

Inventory is a stock of goods held at a specific location, at a specific point of time. It


supports for setting N-Level hierarchy for Product category & Product
sucategory . !hecking of Inventory in the time of ".#. generation, in the time of
Indent rise also re$uesting for items either for adding into the inventory or for
deduction of items from the inventory is incorporated into the module. %ill of &aterial
'%#&( is also part of this module. )tock *erification can e done in case of scrap and
loss. +he functionalities supported y the module have een divided into the
follo,ing su-modules- Product !ategory &anagement , Item &aster , Locator , Item
.e$uest , )tock *erification.
Store
)tore ta contains four su tas namely /dd for adding a ne, store , *ie, for
vie,ing the entered data , &odify for modifying entered data, 0elete for deleting
data.
Add
+he /dd ta leads user to a screen for adding store entries. +he data heads for
entry include )tore Name, 0escription, and /ddress.
View
+he *ie, ta leads user to a screen for vie,ing lists of entered store entries.
Modify
+he &odify ta leads user to a screen for vie,ing lists of entered store entries
containing )tore Id & )tore Name. 1yper link on )tore Name gives users facility
to modify the entered data.
Delete
+he 0elete ta leads user to a screen for vie,ing lists of entered store entries
containing )tore Id & )tore Name.
The user can select the Store entries to be deleted or can individually delete each Store
data entry.
Product Category Management
Product !ategory &anagement ta contains four su tas namely /dd for adding
Product-!ategory up to N-Level, *ie, for displaying the N-Level tree structure ,
&odify for modifying any node ,ithin that N-Level tree structure , 0elete for
deleting any node form N-Level tree structure.
Add
+he /dd ta gives user a facility for adding N-Level Product !ategory hierarchy.
/dd contain fields like Item-type, Product !ategory, Product )ucategory, .emarks.
#n selection of the relevant Item type gives value into Product !ategory. 2or root
level Product !ategory ,ould e None other,ise selecting any other Product
!ategory means this Product !ategory appearing as parent of the particular Product
)ucategory entering y the user.

of relevant Item-+ype rings out root category names. 3ser have to check the
particular o4es for ,hich N-Level tree structure ,ill e vie,ed.
Modify
&odify ta of Product !ategory &anagement at first sho,s Item-+ype. #n
selection of relevant Item-+ype gives all root !ategories of that particular Item-+ype.
#n selection of relevant !ategory gives Product )ucategories such that ,here
hierarchy starts from that !ategory and pass through different su-su !ategories.
#n selection of a particular Product )ucategory hierarchy gives user a chance to
modify any !ategory and do,n line all )ucategories. +he hyper-link on the
)ucategory Numer open the page for ne, entries in all the field of a particular
!ategory-)ucategory.
Delete
0elete ta of Product !ategory &anagement at first sho,s Item-+ype. #n
selection of relevant Item-+ype gives all root !ategories of that particular Item-+ype.
#n selection of relevant !ategory gives Product )ucategories such that ,here
hierarchy starts from that !ategory and pass through different su-su !ategories.
#n selection of a particular Product )ucategory hierarchy gives user a chance to
delete )ucategory from last level of !ategory-)ucategory hierarchy.
Item Master
Item &aster ta contains four su tas namely /dd for adding items into inventory,
*ie, for getting inventory vie, , &odify for modifying entered items into the
inventory , 0elete for deleting inventory items.
Add
In Product !ategory &anagement user sets up !ategory-)ucategory hierarchy then
at the ottom level ,ithin this !ategory-)ucategory user can enter items. +he data
heads for entry include Item-Name, 0escription, &ake, )pecification, 3nit of
&easurement, )ustitute Numer, %arcode Numer, 5uantity #nhand, 3nit Price,
&inimum, &a4imum, .eorder Level. #n selection of relevant Item-+ype gives all root
!ategories of that particular Item-+ype. #n selection of relevant !ategory gives
Product )ucategories such that ,here hierarchy starts from that !ategory and pass

.eports ta leads user into a screen ,here one can select +ype ,ise, !ategory
,ise, Product )ucategory ,ise reports. %y clicking the particular arro, against
+ype, !ategory, Product )ucategory appears a list of Items in printale P02
format.
ocator
Locator ta contains four su tas name /dd for adding location of Items , *ie,
for vie,ing the entered data , &odify for modifying entered data, 0elete for
deleting data.
Add
+he /dd ta leads user to a screen for adding location of Items. +he data heads for
entry include Locator Name, /isle, Level, %in, and 0escription.

+he *ie, ta leads user to a screen for vie,ing lists of entered Locator entries.
Modify
+he &odify ta leads user to a screen for vie,ing lists of entered Locator entries
containing Locator Id & Locator Name. 1yper link on Locator Name gives users
facility to modify the entered data.
Delete
+he 0elete ta leads user to a screen for vie,ing lists of entered Locator entries
containing Locator Id & Locator Name.
The user can select the Locator entries to be deleted or can individually delete each Store
data entry.

Add
In preparation of %#& user have to select for ,hich 2inished or )emi finished goods
%#& have to prepare. /lso for 2inished or )emi finished goods the organi6ation may
have N-Level hierarchy. )o, user at first have to track do,n for +ype, !ategory,
su-su !ategory to select specific )u !ategory for ,hich %#& is eing prepared.
No, it7s time to prepare %#&. /t first user have to select one or
more !ategories, then from one or more )u-!ategories user have to select items
for %#& preparation.

In *ie, ta leads a screen ,here user have to select particular +ype, !ategory,
)ucategories for ,hich prepared %#& have to e vie,ed. /fter selection a particular
)ucategory list of %#& entries appear in the screen contains %#& no., %#& Name.

Modify

particular )ucategory list of %#& entries appear in the screen containing %#& no.,
%#& Name.

Name, 0escription, )pecification of Items ,ithin that %#&. %y clicking 1yper link on
Item No. user get a screen for modifying Location & 5uantity of that particular Item
in the corresponding %#&.
+here can e a scenario that user have the necessity to add more Item into the same
%#&. +o do that a link een provided namely /dd more items into the same %#&.
Delete
0elete ta leads a screen ,here user have to select particular +ype, !ategory,
)ucategories for ,hich prepared %#& have to e modified. /fter selection a
particular )ucategory list of %#& entries appear in the screen containing %#& no.,
%#& Name.
1yper link on %#& Numer leads to a screen having Name, 0escription,
)pecification of Items ,ithin that %#&.
+he user can select the Item entries to e deleted or can individually
delete each Item entry.

Item Re%uest
Item .e$uest ta contains four su tas namely /dd for .e$uesting Items either to
add in the inventory or send from the inventory, &odify .e$uest to change
re$uested $uantity, Item .e$. /pproval for approval of re$uested Items. Issue
Items for issuing that re$uest. #nly after issuing , Items from inventory can
increase or reduced from inventory.
Add
/dd ta leads user to a page ,here user can select it7s a general Item re$uisition
or re$uisition against %#& .

from inventory against a ,hole %#&. 1ere through Item-+ype, !ategory, Product
)ucategory user ,ill get corresponding %#&s . )election of a particular %#&

.e$uest 0ate, .e$uested y, !ost !enter.
1yper link on Item re$uisition gives user facility to re$uest Items going through
+ype, !ategory & )ucategory.
Modify Re%uest
%efore the re$uisition een approved re$uested person can change the particular
re$uisition. +o modify user ,ill first choose re$uisition type.
2or modifying re$uisition made against %#& user have to go through
&odify .e$uisition against %#& hyper link. 3sers have to select Item-+ype,
!ategory, )ucategory for getting corresponding %#&s. #nce a particular %#& een
select , lists of %#&s appears into the screen. 8ach list contains .e$uest No,
5uantity, .e$uest 0ate, .e$uested %y. !licking the 1yper link on .e$uest No
rings .e$uested No, 5uantity, 0ate & .e$uested %y in the same. 1ere user can
modify 5uantity'No of sets( re$uested .
1yper link on &odify general Item re$uisition rings a page containing list of
re$uests. 8ach re$uest having fields like .e$uest No, 0ate, .e$uested %y, !ost
!enters & status. 1yper link on .e$uest No leads to a page having details of a
particular re$uest.
Item Re%& Approval
Item .e$. /pproval ta for approval of re$uisition y some authori6ed persons.

*ariation, .eason & 0ate for user entry .
Approval
/pproval tag for approval of stock verification re$uest y authori6ed persons.

*ie, tag leads user to a screen ,here user can vie, their re$uested data & its
status.
Reports
.eports ta contains t,o su tas namely 9eneral .eports for getting reports
depending upon Item7s Issue, .eceipt or oth. /nother su ta )tock )tatement
depending upon )tock-)tatement during a given period.
General Reports
+he General Reports ta leads user to the screen ,here parameters for .eport
9eneration can e set. +he parameters can e divided in three groups. 2irst group is
related to Items ,here user have to select one of et,een Item No or /ll. In second
group user have to select one of et,een /s #n 0ate or 2rom 0ate - +o 0ate . In
third group user have to select one of among Issue , .eceipt & %oth .
Stoc' Statement
+he )tock )tatement ta leads user to the screen ,here parameters for .eport
9eneration can e set. +he parameters are 2rom 0ate & +o 0ate.
