JOB SUMMARY:
Pay range for this position is expected to be $105,000 - $120,000/annually.
This position ensures compliant payroll processing for group companies covering most of the 50 states. Oversees day-to-day execution of complex payroll tasks which include but are not limited to payroll maintenance, payroll processing, management of multiple tax jurisdictions and time system support for group companies with employees across the U.S. Works closely with HR Director to develop and manage the strategic direction for the Payroll function. This role ensures data integrity, confidentiality and process flow to ensure efficient and effective payroll operations.
JOB RESPONSIBILITIES:
Provides coaching, mentoring, performance management and development for the Payroll staff
Develops Payroll HOSHIN and participates in Midterm Planning, collaborating with HRIS Manager and HR Director
Manages Payroll processing and ensures the confidentiality of data
Manages staffing levels to ensure sufficient capacity to meet demands of groups with comprehensive back up/contingency plan in case of unplanned absence or other emergency situation
Manages relationship with HR leaders at group companies ensuring customer satisfaction
Manages the relationship with ADP and any other payroll or timekeeping vendor/partners
Develops and performs weekly payroll audits
Ensures payroll work instructions are up to date and provides sufficient detail for cross training and backup support as needed
Serves as the escalation point for all payroll and tax issues in all jurisdictions. Researches and resolves payroll problems that arise, often working closely with HRIS team for prompt resolution
Serves as the payroll lead for merger and acquisition implementations and is a key member of the M&A team
Responsible for payroll compliance research, testing and implementation of newly rolled out features and enhancements to the payroll and timekeeping functions of the system
Responsible for on-time and accurate exempt and non-exempt payroll processing for various payroll frequencies and locations throughout the United States in compliance with federal, state and local laws.
Provides support to staff for troubleshooting and resolving issues as needed
Collaborates with Accounting Department for General Ledger inquiries, etc.
Ensures timely response for tax notice response and tax jurisdiction set up
Manages the research, testing and implementation of newly rolled out features and enhancements
Identifies system training needs, and designs training and development programs as appropriate
Has a comprehensive knowledgeable of payroll and timekeeping concepts and principles and is proficient in all aspects of related system
Exercises discretion in situations where the policy may not specifically address the unique situation and ensures compliance with company policy and regulations
May be required to perform processing duties if the need arises to ensure payroll processing deadlines are met for all group companies
Supports the budgeting and shared services development process
Performs other job-related duties as assigned.
EDUCATION/EXPERIENCE AND SKILLS:
Bachelor’s degree in business or a related field.
An HR and/or Payroll certification such as PHR, SPHR or CPP is preferred.
6 plus years of payroll experience with an emphasis on management of staff and timekeeping/payroll systems
Lead by example using the Toyota Precepts as a guide
Ability to handle emotionally charged and confrontational situations
Flexibility to adapt to different schedule demands and deadlines and meet the needs of customers in different time zones
Excellent written and verbal communication skills to compose and deliver communication materials to all levels of the organization

Demonstrated initiative to learn new systems, programs and stay current on best practices
Knowledge of federal, state and local employment laws and practices
Must have the ability to exercise judgment and make sound decisions quickly while interpreting the company policies
Must be able to proactively identify problems and take steps to solve issues and updated processes as needed.
Initiative to take on new projects, learn new systems, and keep apprised of changing regulations.
Strong technical skills required Microsoft Word, PowerPoint and Excel (emphasis on Excel – formulas, charting, and pivot tables).
TRAVEL:
Travel may be required up to 10% of the time on an as needed basis. Typical travel includes visiting subsidiaries or traveling domestically for training. Occasional international travel is possible.
PHYSICAL DEMANDS:
While performing the duties of this position, the employee is frequently required to sit, stand, and communicate verbally and in writing. Manual dexterity and coordination are required to operate standard office equipment such as computer keyboard, calculator, and printer. Work will be performed in an open office environment with cubicles.
