H.R. Assistant

We are seeking a detail-oriented and proactive HR Assistant to join our team. The ideal candidate will provide comprehensive support in various HR functions including recruiting, onboarding, offboarding and miscellaneous administrative tasks. The HR Assistant will work closely with the HR team to ensure efficient operations and outstanding employee experiences. This position offers opportunities for development within the HR department. The successful candidate will work closely with the HR team to gain valuable experience in various HR functions and contribute to the overall success of the organization. Candidates must live in the Chicagoland area and be able to work on a hybrid basis with both in and out of office days.

Position Responsibilities

Talent Acquisition, Onboarding & Offboarding:

  • Post job openings on relevant platforms.
  • Schedule interviews and communicate with candidates as requested.
  • Maintain digital personnel files by filing critical documents.
  • Facilitate the onboarding process for new hires including documentation and orientation.
  • Manage employee referral programs.
  • Execute offboarding tasks (deactivations, equipment returns, etc.).
  • Assist in auditing and updating job descriptions in collaboration with hiring managers.
  • Facilitate employee verifications as needed.

General HR

  • Assist in handling various HR audits.
  • Coordinate monthly birthday and anniversary emails and distribute to managers.
  • Conduct Global Address List and Outlook distribution list audits for accuracy.
  • Update our employee intranet platform and prepare reports as needed.
  • Create announcements and visuals for internal office digital monitors.
  • Conduct I9 audits to ensure compliance.
  • Support employee engagement and recognition initiatives.
  • Assist with other HR projects as assigned.

Required Skills And Experience

  • Associate degree in human resources or related field.
  • 1-2 years of experience in an HR related administrative role.
  • Proficiency in Microsoft Office Suite and HRIS software.
  • Strong organizational and time-management skills.
  • Excellent written and oral communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Detail-oriented with a proactive approach to problem-solving.
