ABOUT LSC:

Established by Congress in 1974, the Legal Services Corporation (LSC) is the country’s single largest funder of civil legal aid for low-income Americans. LSC currently funds 132 independent nonprofit legal aid organizations with more than 800 offices throughout the nation. LSC’s mission is to promote equal access to justice and provide grants for high-quality civil legal assistance to low-income Americans. This position will require working from an office in D.C. in accordance with LSC’s hybrid work model. The successful candidate must live in the Washington, D.C. metropolitan area.


BASIC FUNCTION:

The Board and Executive Coordinator (Coordinator) assists with planning and implementation of the Legal Services Corporation’s (LSC) quarterly Board of Directors meetings, LSC’s in-person and virtual events and other projects, including research and publishing projects, task forces, and database management. The role entails researching civil legal aid topics/subject matter experts for programming and speaking engagements; drafting, editing and assembling documents and correspondence; scheduling and supporting preparation for meetings with internal and external stakeholders; building prospect lists for event marketing; and helping develop processes to carry out and improve Board and event-planning functions. Reporting to the Special Assistant to the President, the Coordinator also provides logistical support to other members of the Executive Office and collaborates frequently with colleagues on other teams, including Travel, Communications and Institutional Advancement. The Coordinator uses key LSC tools, such as LSC’s Board meeting software (Convene), CRM (Salesforce), and event management software (Cvent). Occasional travel may be required to Board meetings and/or major organizational events.


PRINCIPAL DUTIES AND RESPONSIBILITIES:

BOARD OF DIRECTORS SUPPORT

  1. Assists the Special Assistant to the President with planning and implementation of quarterly Board of Directors and Committee meetings and any related convenings/public programming. Helps administer polls and schedule speaker planning sessions as well as Board and Committee calls. Supports development, editing and circulation of agendas and meeting materials.
  2. Gathers, compiles and polishes information from across the organization for use in various reports, presentations or speaking engagements and events.
  3. Initiates and monitors production timelines for Board meeting materials and event collateral. Coordinates with colleagues on their submission of materials and leads assembly of Board books and slides.
  4. Collaborates with Special Assistant to the President and colleagues in the Office of Legal Affairs to maintain an official record (attendance, transcripts, Board resolutions) of Board of Directors action. Crafts updates for LSC’s website to ensure the public can find information about how to participate in Board meetings.


EVENTS/SPECIAL PROJECTS

  1. Research speakers, topics and trends in the civil legal aid sector to help with special projects. Helps summarize data/information and write content for LSC publications or other products.
  2. Supports speaker outreach and content development for virtual and in-person events (as assigned). Crafts communications to facilitate recruitment of event participants (e.g., speakers/awardees) and information sharing. Helps event/project lead develop and maintain run of show, and helps compile and prepare speaker bios, introductions, and talking points.
  3. Drafts event logistical reminders and thank-you letters on behalf of LSC leadership.
  4. Ensures smooth meeting/event logistics, including Zoom facilitation, running slides, in-person set-up/clean-up, creation and printing of badges, signage and other materials, and any audio/visual needs. Coordinates with colleagues, such as LSC’s Travel team to ensure speaker arrangements are booked. Anticipates possible challenges and creates contingency plans.
  5. Monitors meeting/event supply inventory and prepares event supplies for shipment, in collaboration with colleagues in the Office of Information Technology and Operations.
  6. Creates promotional materials, including HTML mass emails. Builds event outreach lists and manages registration/participant data. Conducts database related administrative duties using Cvent and Salesforce, such as pulling reports and reviewing and updating data for accuracy and integrity.
  7. Proactively identifies tasks and action items that need to be completed to ensure seamless implementation of meetings, events, and initiatives.
  8. Performs other related duties as assigned.


COMPETENCIES REQUIRED:

  • You have an eye for design and have experience and basic skills creating collateral in programs like PowerPoint and Canva.
  • You possess excellent written and oral communication skills and demonstrate accuracy and thoroughness in your work.

Technical/Specialized:

  • A minimum of a bachelor’s degree and at least two years of relevant experience.
  • Strong research and analytical skills.
  • Advanced proficiency in Microsoft Office Suite, especially Word, Outlook, Excel and PowerPoint, and with Canva and Adobe Acrobat.
  • Proficiency in managing videoconference platforms, such as Zoom.
  • Experience working with and maintaining electronic files, databases and CRMs, including tracking information using Excel and Smartsheet.


SALARY AND BENEFITS:

Salary: $73,876

Salary Range: $73,876 - $76,860

LSC has a competitive market-based salary structure that establishes a specific salary range for this position. The salary range has eight steps. Step increases are based on acceptable performance and longevity. It normally takes 10 years to advance from Step 1 to Step 8 (waiting periods of 2 years to advance at steps 1 - 3 and 1 year at steps 4 – 8). A new hire is typically hired at Step 1. In special circumstances, LSC may authorize a new hire to start at a higher step based on a special need or superior qualifications of the new employee.
