We are seeking an exceptional Executive Assistant/Office Manager leader to oversee our administrative operations and support the CEO in achieving company objectives. In this role you will manage the Chief Executive Officer’s schedule, coordinate meetings and travel, ensure seamless internal and external communications, and act as the main point of contact for office logistics to foster a productive office environment, facilitate executive effectiveness, and contribute to organizational success through efficient operations and responsive support.


Key Areas of Accountability:

  • Executive Communication and Representation: Act as the primary liaison for the CEO, internal and external partners. Ensure effective communication and professional representation on behalf of the company.
  • Calendar and Meeting Management: Coordinate CEO’s calendar and schedule meetings appropriately, ensuring alignment with business and personal needs.
  • Event Planning: Plan virtual and in-person all-hands meetings, and other events. Manage logistics for coordinating activities and meals as needed.
  • Travel and Logistics Coordination: Arrange travel logistics and accommodations for the CEO, ensuring seamless and timely arrangements.
  • Office Management: Order office supplies, manage inventory within the gifting closet, and handle inbound and outbound mail efficiently. Ensure snacks are stocked for both office and warehouse needs,
  • Donation Management: Coordinate the donation process for non-profit organizations, ensuring donations are managed effectively and in alignment with company values.


Cross-Functional Collaboration:

  • Cross-Department Projects: Participate in cross-departmental projects or task forces to support organizational initiatives, contribute to project planning, and ensure effective communication and coordination across teams.
  • Warehouse Support: Provide essential support to remote warehouse operations by maintaining inventory of office supplies and personnel snacks.
  • Executive Team Support: Partner on culture initiatives and Quarterly Business Planning. Collaborate with administrative support to coordinate meetings and ensure smooth communication and execution of strategic initiatives.
  • Liaison with Property Management Team: Act as a liaison for office maintenance requests, ensuring timely resolution of issues and effective communication with property management.


Qualification Requirements:

  • Minimum of 5+ years of experience in a similar role.
  • Associate's Degree.
  • Must have a CA drivers license and vehicle for EA errands.
  • Strong organizational skills and multitasking abilities.
  • High level of accuracy and attention to detail.
  • Ability to act with discretion and confidentiality.


Preferences:

  • Bachelor’s degree preferred in business administration, management, or a related field.
  • Experience in startup or fast-paced, entrepreneurial settings.
  • Demonstrated leadership skills and ability to be a culture ambassador.
  • Relevant certifications such as Certified Administrative Professional (CAP) or Project Management Professional (PMP).


Skills and Competencies:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software.
  • Problem-Solving: Strong problem solving skills and ability to make sound decisions under pressure.
  • Interpersonal Skills: Excellent interpersonal skills to work effectively with internal and external stakeholders.
  • Adaptability: Ability to learn new technologies and adapt to changing environments.
  • Project Management: Experience managing projects and coordinating multiple tasks.
  • Customer Service Orientation: Strong customer service skills and professionalism in guest interactions.

Work Environment:

The physical requirements and conditions for the EA/Office Manager position include working onsite in an accessible office environment. The role requires mobility to navigate the office, including walking, standing, and sitting for extended periods. Manual dexterity is necessary for operating office equipment, such as computers and phones. Occasionally the position may include lifting and carrying office supplies or equipment up to 40 pounds. Adequate vision and hearing are essential for handling office tasks and communications effectively. This is a full-time, onsite position with standard office hours and occasional flexibility.


Compensation and Benefits:

  • $75,000-$95,000
