Senior Executive Assistant
As a pivotal support role, you will provide comprehensive assistance to senior leadership, upholding the highest standards of confidentiality and professionalism in a fast-paced work environment.
Responsibilities
- Support the executive team, including 3-4 executives.
- Efficiently manage incoming calls and messages, including organizing conference calls.
- Coordinate executive appointments and communications with tact and discretion.
- Maintain accurate and current contact databases.
- Oversee office catering and snack procurement within budgetary guidelines.
- Schedule appointments and manage calendars for executives.
- Welcome and assist visitors with a high degree of professionalism.
- Arrange flight and ground transportation travel arrangements for the CEO and their family members.
- Coordinate meetings for the entire executive team.
- Assist with board meetings, including logistical support and presentations.
- Update documents on internal platforms with meticulous attention to detail.
- Handle confidential matters with the utmost professionalism and discretion.
- Perform general administrative tasks as required.
- Proactively identify and solve problems without waiting to be asked.
Qualifications
- Bachelor's degree in communications, Business Administration, Finance, or a related field.
- 5+ years of executive support experience, preferably in a finance organization.
- Proficiency in Microsoft Office Suite and other relevant software.
- Strong communication and organizational skills.
- Ability to manage multiple tasks under pressure with exceptional attention to detail.
- Discretion and confidentiality in handling sensitive information.
- Adaptability to changing priorities and deadlines.
- Exhibit a professional appearance and demeanor at all times.
- Familiarity with supporting 3-5 C-level executives.
- Demonstrate a natural ability to solve problems proactively.
Experience
- Proficient in administrative tasks such as call management, appointment scheduling, and travel coordination.
- Capable of making independent decisions in a dynamic work environment.
- Experience in event coordination and expense management is advantageous.
