Assistant Licensing Manager

The Museum of Modern Art is currently accepting applications for an Assistant Licensing Manager in its Retail Division. Reporting to the Assistant Director, Licensing, the Assistant Manager performs a variety of administrative, support and analytical duties specific to the Retail licensing department. Tracks and reports on business and daily activities of licensed partners such as LEGO and Uniqlo. Manages department budget updates and supports ongoing budget analysis. Leads day-to-day onboarding contact for new licensing partners such as Nike, BAGGU and three to five additional partners anticipated to onboard in the near future. Coordinates with various internal Museum departments on licensing projects: Accounting (to prepare invoices and pay bills), Finance on budgeting matters and Merchandising (to track inventory for licensed partners).

Additional Responsibilities Include

  • Manages product and international retail partners to ensure they are compliant with royalty requirements listed in license agreements. Follows up to secure forecasts, quarterly royalty reports and payments from all licensees.
  • Responsible for department royalty tracking, including updating royalty management documents and systems to track payments versus forecast by licensee; analyzing and reporting on performance versus plan; tracking royalty payments due to artists and agents as a function of all license agreements; coordinating with Finance to ensure timely and accurate payments of royalties to artists and agents; and, providing ongoing updates to the business development team regarding key licensee forecasts. Updates monthly revenue reports noting performance versus plan.
  • Supports Director, Business Development and Assistant Director, Licensing with data analysis and preparation of decks and spreadsheets as necessary to support department needs.
  • Coordinates with new licensing agency to integrate royalty and contract management processes as necessary.
  • Communicates information and assets to all international retail partners and licensing agents.
  • Maintains department calendar and meeting planners, including coordinating regularly scheduled partner meetings virtually and on site, trade show attendance at Licensing Expo and BLE.
  • Coordinates current and prospective partner visits to MoMA, including training schedules, Museum and store tours, and meals.
  • Attends meetings with new and prospective partners with the Assistant Director, Licensing, taking detailed meeting notes and identifying key follow-ups; maintains a timeline for follow-ups and reminds those accountable of these tasks to ensure timely completion.
  • Manages inventory and supports merchandise ordering for international retail partners (Loft and K11), including coordinating with Retail Merchandising team for new products coming into seasonal assortment; sharing that information with the licensed store partners; and communicating back with Merchandising team if licensed stores wish to purchase any of that inventory from MoMA; collaborates with Assistant Director, Wholesale for international retail partner orders.
  • Performs any other duties reasonably related to the functions described above.

Requirements

  • Bachelor’s degree and two to three years relevant experience or equivalent.
  • Excellent administrative and organizational abilities.
  • Ability to create visually appealing and easy to read presentations showcasing data and strategic analysis.
  • Detail and solution oriented, professional initiative, strong listening and communication capabilities.
  • Interest and/or background in licensing is preferred.
  • Awareness of and interest in retail trends, design, and art is preferred.
  • Strong computer skills, including proficiency with the Google platform (Gmail, Google Calendar, Google docs and sheets, and Google Meet) and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to take direction and work independently.
  • Ability to juggle multiple tasks.
  • Ability to effectively interact with and manage relationships with internal and external parties, including museum curators, licensed retail partners, and contracted agencies.

Salary: The salary range for this position is a minimum of $65,000 to maximum of $70,000 per annum.
