We are looking for an administrative assistant to provide primary administrative support to the Chief Compliance Officer (CCO) and assisting other Managing Directors on the NJ-based Compliance & Legal team. The role is based in Short Hills, NJ. The successful candidate will join a dynamic, fast-paced, and collaborative work environment.

The Role
We are looking for an administrative assistant to provide primary administrative support to the Chief Compliance Officer (CCO) and assisting other Managing Directors on the NJ-based Compliance & Legal team. The role is based in Short Hills, NJ. The successful candidate will join a dynamic, fast-paced, and collaborative work environment.
Responsibilities
- Managing complex and ever-changing calendars for the CCO and other members of the New Jersey-based Managing Directors in Compliance & Legal. Work with peers internally to schedule meetings with other employees, including members of the C-Suite and with external constituents including but not limited to regulators, board members, industry peers, clients, job applicants.
- Ensure logistics of meetings are well planned, organized and communicated in advance including booking conference rooms, ensuring required technology and other resources are in place working properly and ensuring all participants have the correct information.
- Preparing materials for meetings, which may include PowerPoint presentations.
- Booking travel (both domestic and international) and filing related expense reports.
- Assist Compliance & Legal team with various team projects, as needed.
- Partner with the NY-based Legal & Compliance Team Assistant to coordinate meetings/events that involve Compliance & Legal.
- Provide back-up support to other teams as needed.
- Prior relevant experience required and experience at an asset management firm preferred.
- Proficient in Outlook and with Microsoft Office.
- International and domestic travel booking experience.
- Must be detail-oriented, have the ability to balance competing priorities and have strong problem-solving skills.
- Must be proactive and have the ability to work independently.
- Must have an attitude of “no task is too big or too small” and be willing to wear many hats.
- Must be able to work collaboratively with colleagues and work effectively across multiple office locations.
