What data do I need to sync from my CRM to LinkedIn to power CRM Connect?

The following are required fields, which are mandatory in order for the integration to work.

Additional optional items may be included at the discretion of the CRM. Fields in the CRM may be labeled differently. Where data is displayed within the CRM is unique to each CRM and is subject to CRM update.

How is candidate email data from my CRM handled by LinkedIn?

We ask customers to sync candidate data, including candidate email, from the CRM to LinkedIn. This is because email is a unique identifier within LinkedIn, and we need it to match CRM Candidate records to LI members. This member matching is how we are able to surface CRM candidate information within LinkedIn Recruiter, and show LinkedIn member profiles in the LinkedIn Profile Widget (embedded in customers’ CRM systems). Candidate email data coming from the CRM to LinkedIn is treated with the utmost privacy.

It will not be used by LinkedIn to enrich our own member profile data.
This data is stored separately from our own member data on the backend.
When displayed in Recruiter, there will be a clear indication of whether a candidate email was synced from an external CRM system
Candidate email data will never be shared with another customer.
CRM emails are only visible to recruiters on CRM Connect-enabledLinkedIn Recruiter contracts.
Any and all information synced via CRM Connect remains customer data. The best way to think about this is you, the customer are the Data Controller, and LinkedIn is the Data Processor.

Can I opt out of sending any fields from my CRM to LinkedIn?

Currently, you can't opt out of sending any required fields from your CRM to LinkedIn. Providing this data ensures that your users have the best experience possible with CRM Connect, receiving relevant information and full context on every candidate. However, we have access controls coming soon that will allow you to manage who has access to see certain candidates, pipelines, interactions, and resumes synced from your CRM.

What happens when I purge candidates from my CRM? Can I make sure that is reflected back in Recruiter?

When a candidate is deleted from your CRM, your CRM system will send LinkedIn a “delete” API request to delete the corresponding record on LinkedIn. This delete action should happen in close to real-time, and will permanently delete the associated candidate record from LinkedIn’s backend database. Note that the same process applies to talent pipelines, pipeline stages, interactions, and resumes synced to LinkedIn through CRM Connect.

If a candidate that was exported from LinkedIn to my CRM closes their LinkedIn profile, will they get deleted from my CRM?

If a member closes their LinkedIn profile, they have 21 days to reactivate it (after which LinkedInwill purge their profile). Once a LinkedIn profile is purged, we populate this information in our Closed Candidates API endpoint, which your CRM must query periodically. Your CRM system is responsible for deleting previously-exported LinkedIn profiles that have been deleted, or informing you when a previously-exported LinkedIn profile has been closed. If your CRM informs you that a LinkedIn member profile has been closed,it is your responsibility to determine whether you have a continuing legal basis to retain previously-exported LinkedIn profiledata. Detailed information about how this API works is available here. Please reach out to your CRM rep if you have any concerns or questions about purging closed LinkedIn profiles from your CRM.
Additionally, once a member closes their profile, that profile will no longer surface in the LinkedIn Profile Widget.

Is it possible to sync candidate skills and tags from my CRM to LinkedIn, so that they are visible in LinkedIn Recruiter?

We are building the capability for CRM partners to sync candidate skills and tags to LinkedIn, so that this information can be surfaced in Recruiter. This feature will be available for CRM partners to adopt in 2024.

Do InMail communications come over to the CRM from LinkedIn?

Yes, as part of the integration, we provide InMail History to the CRM, which will be used to sync InMails (including full content and history) and follow up messages for customers who have CRM Connect activated. You can also see limited past InMail and notes activity in the Recruiting Activity section/tab of the LinkedIn Profile widget in your CRM.

What LinkedIn data gets exported to my CRM?

Below are the fields we bring over from LinkedIn to your CRM via 1-Click Export (1CE). We do not automate exports, and we do not export member contact information or resumes with this feature. (Link to API reference)

Here's a tip

Exports are limited to 300 exports per Recruiter user per month.

CRM Connect will send candidate contact information via a feature called InMail StubProfile: This is an API that will send a candidate's contact information to the partner if the candidate has consented to share it with a recruiter via an InMail. Without consent, we only share the LinkedIn profile data referenced above as part of 1-click export.

With consent, the InMail StubProfile shares limited profile information including email and phone number, if provided.
No InMail StubProfile record will be sent to the partner system if the LinkedIn member does not consent to sharing their contact information. If the member consents to sharing their contact information, they are required to share their email (sharing their phone number is optional).

What is the maximum number of profiles I can export from LinkedIn to my CRM? Can we bulk-export to CRM?

Currently, each Recruiter user on a CRM Connect-enabled contract may complete 300 LinkedIn profile exports per month. We do not allow for bulk exports.

Do Linkedin projects/pipelines come over into the CRM?

You will not be able to see a candidate’s LinkedIn pipeline information in the LinkedIn profile widget, but you will be able to see recent InMail and Notes activity displayed in the Profile Widget, and also can access full InMail History displayed directly in the CRM. You can save a candidate to a pipeline in your CRM directly from the LinkedIn Profile widget.

Do I need to export all my candidates from LinkedIn Recruiter to the CRM?

Yes, historical candidate data will be synced during the implementation/activation process, in which candidates are mapped between systems by email address/LinkedIn URLs/phone number, etc. This exported data is used to match candidates across systems and give users the most comprehensive view of data/context on a given candidate to help you save time manually toggling between the two systems.
Once your implementation process is completed, you will be able to filter candidates in Recruiter based on whether they already exist within your CRM or not. You can use 1-click export to add candidates from LinkedIn Recruiter to your CRM.
Candidate data that is synced for the purposes of the integration remains as customer data (e.g. customers are the Data Controller and LinkedIn is the Data Processor). Customers have the ability and control for deleting any candidate records from the integration as needed.

How does LinkedIn manage candidate data that is exported to the CRM?

Information available via 1-Click Export is part of the member profile visible to recruiters in LinkedIn Recruiter. This is in accordance with LinkedIn’s User Agreement and Privacy Policy where we have sections on "How We Use Data" and "How We Share Information".
Members have the option to opt out of LinkedIn visibility (this is ON by default). If they turn this OFF, their profiles cannot be exported via 1-Click Export.

General

How do we match candidates?

CRM candidates are matched with LinkedIn members based on their email address first. If no match is found, it then attempts to match based on their phone number, profile URL, and/or company name + job title.

Can you still export candidates to CRM if the candidate has not consented to sharing their contact information?

You can still export candidates to the CRM via 1-click export even if the candidate has not consented to sharing their contact information. However, the export will not include the candidate's contact information without their consent.

Is there a limit to how many candidates can be exported?

The maximum number of exports that can be performed with one-click export is 300 per seat per month, as noted in our documentation. One export is defined as an export to one CRM pipeline.

Can you bulk export candidates with one click export?

No, can only export candidates one by one to CRM via one-click export.

How come I am unable to export a candidate to my CRM?

LinkedIn members can control whether their information can be shared/exported via their LinkedIn profile settings. If they have their “Profile discovery and visibility settings” disabled, then they have not consented to sharing their profile information and therefore, we cannot export them to the CRM.

What is the candidate profile export security / privacy policy?

If a candidate (LinkedIn member) has set in their LI profile settings to "do not allow export", then the Recruiter user won't be able to export the candidate to the CRM pipeline via 1CE. Note: only ~1-2% of all LI members that have the setting disabled (and do not allow exports).

What happens to a candidate or applicant record in CRM if the member changes their LinkedIn member privacy settings after using 1-click export?

Records that have already been exported in the past become the customer’s data - and LinkedIn will not update/change that data. If a member changes their LinkedIn member privacy settings after their profile is exported, it will not be possible to export their profile again, but nothing happens to their record in the CRM.

What data gets sent with 1CE via the Candidate StubProfile?

The Candidate StubProfile API is what we send for 1-Click Export, which does not require member consent.

Can we customize the notification message candidates receive when prompted to share their contact information via InMail messages?

No, this is standard language that is approved by our legal teams and cannot be changed.

Can you input notes with InMail StubProfile export?

There is no way to input notes with InMail StubProfile export, as this happens automatically once a candidate shares their contact information. However, recruiters may manually input a note before 1 Click Export (for [Candidate] StubProfile) into the CRM.

LinkedIn Profile Widget

Will candidate data from LinkedIn get updated automatically within the CRM?

Up-to-date candidate data can be viewed via LinkedIn CRM Connect Profile Widget (an iframe that gets rendered in your CRM). If users update their job title for example, the updates will be viewable via the widget, but that does not override/update the CRM field data.
In order to override/update candidate data in your CRM, you would need to perform 1-Click Export to update existing CRM profile fields.

Does the Profile Widget display for candidates we didn't 1-click export to the CRM?

Yes, the Profile Widget will be available for ALL/ANY members matched via their member URL, and/or email address / other between LinkedIn Recruiter and your CRM automatically, not just for 1-click exported candidates.

What happens if there are duplicate person records in the CRM? How will LinkedIn populate for duplicate records?

If duplicate person records in the CRM match to the same LinkedIn member, both of the CRM person records will be displayed as matches in the LinkedIn UI. The Profile Widget will populate with the same LinkedIn member for both candidates when viewed in the CRM.

Are skills something that will come through the LinkedIn profile widget and be usable for nurture campaign development?

You can view candidate skills, then use them to add a tag in the CRM, but they will not automatically become tags in the CRM.
With One Click Export, top 3 skills have been recently added as export fields. As this is a new enhancement, please check with your CRM provider to confirm availability.

In-CRM Indicator

Once I sync CRM data over to LinkedIn, how granular can I be with using that data to search? Am I able to use search filters to filter out CRM pipelines?

Not currently. The LinkedIn CRM Connect product team is exploring adding additional fields for filtering in LinkedIn Search, but currently, users are limited to filtering but candidates In-CRM.

Spotlights

What fields will be spotlighted in the spotlight section? Will you be able to see if a candidate is in a nurture campaign already?

Currently, there is no spotlight connection for CRM Connect. However, there is an advanced search filter that does appear once CRM Connect has been activated that allows Recruiter users to filter candidates including or excluding them based on if they are "In CRM".

I have a CRM and an ATS or a hybrid CRM/ATS. I heard there is an integration with my ATS called RSC. Which integration should I use?

Based on your CRM/ATS use case, the following table lists the integrations you should use.

By activating both, you will improve your experience on LinkedIn Recruiter by having a more holistic view of a candidate’s background, pulling information from LinkedIn, your ATS, and your CRM.
“I use a hybrid ATS/CRM System” (e.g. I use Avature as both my ATS and CRM)	This depends on what candidate insight is most important to you. If you activate CRM Connect only, you will see pipeline data, prospects (regardless of if they applied in the past), and interactions in LinkedIn. If you activate RSC only, you will not see this layer of information (pipeline, prospects, interactions), however you will still see past application history in LinkedIn. Thus if you lean heavily on your hybrid system for candidate nurture, CRM Connect may be best for your team. If you lean heavily on your hybrid system for application management, RSC may be best for your team. If you have equal use for both nurture and application management, you may want to activate both integrations.
