If I'm at risk of missing deadlines for a photography project, I would first prioritize the most critical tasks to ensure essential parts are completed. Communicating with the client is essential. As I have worked all through in media houses, three deadlines are fixed no one can change that and tight too. In that scenario we used to shoot less to save time on editing. We used to file the most important one first and then the lesser ones.

Always allow yourself extra time to complete the commission. I always ask upfront to any deadlines for the shoot completion and work backwards incorporating the time I will need to both, prepare, shoot and complete editing work. In the event something is needed quickly I may charge a premium because this then means other clients post shoot work then takes longer to complete. Always allow the time you think it will take and then add 3 extra days! If you finish early, they are delighted. Win -win!

Do budgets need to be adjusted? If you're upfront with the client and in constant communication with them most people will be willing to reasonably accommodate adjustments. If you don't have enough time, contact the relevant clients and ask for extensions, be apologetic and professional. Always judge accurately the worth to them but also to you and prioritise accordingly . Don't rush through a head shot shoot at £400 over a brand shoot at £2500 for example. Go back and ask more time for the head shot shoot, unless this piece of work will lead to bigger contracts. Assess the jobs worth to yourself as well as the clients.

Never be afraid to say 'sorry' I underestimated. Keep it professional, confident, but be honest. It always wins with a decent client. But judge who you do this with. Recently I under quoted for a big client, the job gained size and I didn't raise it as it occurred because it was quite a complex shoot. It was only towards the end of the commission that I realised I had spent too much time, time I had not quoted for, as other parties had been bought on board. At the end of the shoot, I talked to my client and apologised for not raising extra costs as they escalated and could I invoice for them? She agreed and I charged extra.

Many here have already explained the virtues of being forth coming to the client, being more efficient, reviewing the workflow and being professional in the spectre of a dark and looming deadline. Make sure all of your deliverables with all associated talents each have a creative brief. Go through the project step by step. Make sure each member understands what their role is and their deliverables and, most importantly, the deadline(s). Update briefs as much as possible and send new changes to all members. Creative briefs are primarily up to date information, but don’t work if not updated regularly.
