How do you teach and mentor others in audience analysis and technical writing?

At this stage, it can be beneficial to create a style guide as a reference tool. This is especially helpful for technical writers who will produce multiple documents or train others to write for the same audience. A style guide typically outlines the audience's grammar expectations (such as whether to use the Oxford comma), how to address the audience, and formatting guidelines. Additionally, a good style guide briefly defines important concepts and terminology that are specific to the audience. Correctly using such concepts and terminology can be challenging but crucial for effective communication. For example, specialized terms may confuse a general audience, but a specialized audience may need those terms to engage with the content.

Remember, you don't need to start from a blank page to create your style guide. You can choose an existing style and build off it (for example, Associated Press Style -- abbreviated as AP). Your field might have an accepted style guide as well (for example, the American Medical Association or The American Society of Mechanical Engineers). You can also reference some company's style guides online.

During this stage it is also a good practice to assess if the document being developed will be provided in multiple languages. In addition to determining what languages will be used, it is a good idea to develop a glossary for each language that provides guidelines on how the subject matter jargon (technical terms, titles, and abbreviations) will be translated.

Identifying the target customer is key and knowing your target audience will allow you to communicate with effect and create a connection. Using tools to allow you to understand your audience will enable you to provide them with answers.

If you don't have direct access to the audience, Marketing, UX/UI, and development teams may be able to fill you in on what the user is trying to accomplish with the product. What are they doing and why.

Encourage learners to prioritize identifying the demographics, knowledge levels, and preferences of their target readers. Explain how factors like age, education, and professional background profoundly influence the style and tone of their writing. Utilize case studies and interactive exercises where learners can simulate audience demographics, allowing them to gauge the relevance of their content for varying reader profiles.

Don't use extra words. Know what you're trying to achieve and don't deviate. Technical writing is usually not the arena for storytelling.

Instill the importance of clarity in communication goals. Encourage them to articulate the specific objectives and outcomes they aim to achieve through their technical writing. Emphasize the significance of aligning content purpose with audience needs and expectations. Task them with formulating concise mission statements for their technical documents, emphasizing the relevance of purpose-centred writing to resonate with target readers.

You really need to think about the situation your audience will be using the documentation. Is it a process that has them offline at some point? Do they need a quick reference while they are learning that will get thrown away in a month? Are they on the go and need a mobile solution? As Donna commented, creating multiple options means having a way to manage the content without duplicating effort and opening the content up to errors.

This "Choose the Format" content makes it sound like this choice is so simple: Just tick off some requirements from a checklist and choose one! It's not that simple. What is the organization's budget? Are they expecting to invest in a tool? Or is the answer, "We have Sharepoint; it can do everything!"? Sharepoint can do a lot of things: but often those things require implementation of advanced features (such as versioning and review and publishing workflows), maybe some custom configuration--and a LOT of processes superimposed. One of the biggest challenges: finding ways to deliver a set of related but disparate documents that can link to all the other disparate but related docs they need to link to--and maintaining those links over time.

Educate them on the diverse document formats and structures available for technical writing. Demonstrate the impact of each format, such as reports, manuals, or procedures, on audience comprehension and engagement. Present them with real-world examples of various technical writing formats, inviting them to conduct a format analysis exercise, identifying the strengths and weaknesses of each.

Audience analysis - determine if you are writing for a particular industry or writing for general audiences. If you are writing for a specialized group in a particular industry, you can assume that those professionals have a good level of understanding of the topic. New and fresh information with authentic analyses in an easy-to-read format may be what busy professionals are looking for. Also consider your audience's cultural background - for instance, though "influencer" is translated into "网红“ in Chinese, 网红 is often not considered as "opinion leader" "expert" in the Chinese context. It is closer to "media personality" "social media creator" ”Internet celebrity" in China as a profession.

The SMART objectives developed when defining the purpose of the document provide an excellent means of organizing the content of the product. Arrange the SMART objectives so that subsequent content builds upon previous content and provides an outline or architecture for achieving the purpose of the document.

I teach audience analysis and technical writing by first helping students understand the importance of knowing their audience. One of my students was writing a user manual for a new software program. She knew that her audience was a group of engineers who were new to the software. She used this information to tailor her writing style and vocabulary to her audience. She also made sure to include clear and concise instructions that were easy for her audience to follow.

It can be challenging to avoid acronyms and more confusing technical terms, depending on your field. When in doubt, include a page for vocabulary or cover how to handle these situations in the style guide.
