The data controller is Savills represented by the companies Savills Italia Srl and Savills Italy Srl with the legal and administrative headquarter in Milan in via Alessandro Manzoni 37, 20121 and Savills Residential Italy Srl with the legal and administrative headquarters in Rome in via di Montoro 8, 00186.

2. Type of data processed

Contacts data: common data (name, surname and contact information) of anybody who have inserted their data in the area “contact us”.

Data of Savills’ employee: name, surname, company position and pictures of their employees.

 

 3.  Purpose and legal basis of the processing 

The data owner process the personal data on the legal basis specified below:

(i) With the consent of the interested person

(ii) To implement pre-contractual measures

(iii) To assert or defend its own right or that of its employees 

Data are processed to obtain requests from visitors for interviews or the like, contact from a potential client (preliminary information), contact from potential suppliers, other reasons of contact by clients, suppliers or private individuals. Contact data are saved on company archives and stored for 1 year.

Employee data is processed to heighten the internal and group knowledge of the Savills team and to provide website visitors with the right referent.

Automated decision-making process

Messages left on the 'contact us' site are automatically sent to the Savills contact person, who is always a natural person.

Finally, with regard to the personal data of interested parties, there is no automated decision-making process, nor is there any processing involving profiling.

 

 4.  Recipients/recipients categories

The recipients of the data collected as a result of consulting the Savills website are:

- Savills UK Limited operator of the site and Dynamics software;

- The Chairman of the 231 Supervisory Board;

- The website maintenance company.

The personal information collected is also processed by the Savills staff authorised to process it, who act on the basis of specific instructions given regarding the purposes and methods of the processing.

The information transmitted is given to the parties listed above without the need of consent as it is functional to the proper functioning of the website and the 'contact us' function.

 5.  Transfer of personal data abroad

Personal data are transferred to Savills' head office in London and to servers located in Ireland, which guarantee the same security as the Italian office.

 

 6. Length of data retention

 

 The data retention period is divided into two macro-categories that correspond to the following regulations:

1. Contact data without evolution in dealings with Savills: 1 year;

2. Contact data with evolution of the relationship: they are kept for the duration of the business relationship and thereafter for 10 years;

It is possible to retain the above documents for a longer period by arguing to the Risk Management Team the reasons for the change in retention time.

After that the processed data will be deleted or rendered anonymous.

 

 7. Rights of the person concerned

The data subject has the right to withdraw consent, obtain access to personal data and their updating or rectification. The data subject has the right to obtain the deletion or anonymisation of the data, for legitimate reasons or the restriction of the processing concerning them, the portability of the data or to object to their processing. In order to exercise his or her rights, the data subject should contact the Data Controller or the company DPO using the contacts indicated in point 1.
