Box is an online cloud storage and collaboration tool.
All current students, staff, and faculty are eligible for a University of Utah Box
account. Simply log in with your uNID and university password to activate your account.

Box is an online cloud storage and collaboration tool that provides users with the
ability to easily store, access, and share files and folders anywhere on any device.
IMPORTANT — Free, secure University of Utah Box accounts are available only to current students, staff, and faculty members. Your UBox account will expire after you are no longer eligible, e.g., after your affiliation with the university ends. More information is available in the UIT Knowledge Base.
Box accounts are provisioned upon your first login. To access your Box account:
Share links to grant read-only access with internal (i.e., box.utah.edu) users
Invite both internal and external users to Box folders as collaborators, and assign
permission levels (viewer, editor, co-owner)
Post comments and assign tasks
Add additional email addresses

Storage of regulated information:
The Information Security Office has approved the use of the university's Box.com installation
for storage of HIPAA and FERPA data, in accordance with relevant privacy laws and
subject to appropriate usage as outlined in the University's Box Acceptable Use Policy (PDF).
Active University of Utah staff, faculty, emeriti, students, and University of Utah
Health staff are eligible to use Box. Affiliate accounts are not eligible.
Box allows you to easily collaborate and exchange information with other University
of Utah and University of Utah Health users in a secure and encrypted environment.
Other cloud providers such as Dropbox or Google Drive cannot provide this level of
security.
Active University of Utah staff, faculty, emeriti, students, and University of Utah
Health staff are allocated 1 TB of storage.
You will need to modify the account to use a non-University of Utah address. You can
do this by following these directions:
Log in to Box and select the "Gear" icon in the top right corner.
Select "Account settings."
In the section "Login information," select "Add more emails."
Enter the non-University of Utah or non-University Health email address and save changes.
Follow the steps in the confirmation messages sent to the address you provided, which
will validate that the email address is operational.
Go back into "Account settings" and hover over the address, selecting the option to
make this address primary. Authenticate to save changes.
The file size limit for uploading is 15 GB.
Depending on the need, you may be eligible for more than your allocated storage space.
For main campus, contact the UIT Help Desk at 801-581-4000. For University of Utah
Health users, contact the ITS Service Desk at 801-587-6000. If you're approaching
the 1 TB storage limit and need more space, your account will be reviewed and eligibility
determined.
As a user of the university’s Box service, you are responsible for all data and content
that you upload to the Box service or otherwise create using the Box service (collectively,
“Data”). In addition, you agree to abide by the following rules in connection with your access to and/or
use of the Box service:
The Box service is primarily for university purposes and as such will follow the same
deprovisioning rules as other systems when an individual is no longer affiliated with
the university.
Yes, you can download content you have uploaded. For data that has been shared with
you, the ability to download is dependent on the permission level granted to you.
If the data you want to download is sensitive, please follow University of Utah or
University of Utah Health guidelines for handling sensitive information. See the Box Security & Usage Matrix.
Yes. This process will also transfer the size of the content against the new owner's
quota and free up storage space for you. See the article Box.com: Managing Collaborators for details.
Shared links allow you to grant read-only access to content for both internal users
(i.e., box.utah.edu users) and external users. For more active collaboration, you
can share files and folders with both internal and external users by adding them as
collaborators to your folder(s) and set a variety of permission levels ranging from

Box is approved for storing and exchanging sensitive data, such as HIPAA and FERPA
content, subject to the guidelines for handling sensitive information. For more details,
access the UIT Knowledge Base article: Storage of regulated information.
Your files and folders are encrypted during upload and download, and while on Box.com.
Access to this content is controlled through authentication and permission controls
as set by you. You can also set password protection on files and folders, and set
expiration dates for content sharing.
Box.com backs up your data to protect against a system failure. Please note that there
are some actions you can take with Box content that cannot be undone. You can use
options such as versioning to protect the integrity of documents. Content you delete
is also placed in the Trash. These items can be restored up to 30 days after the items
were deleted. See the article Box.com: Trash for details.
Due to storage caches, this may happen. Box can manually fix this for you.
If this happens, please open a case with Box directly.
To submit a case to Box:
In your Box account, select Help from the drop-down menu under your name.
Select Submit a Case from the right-hand side under Need Help?
Follow the prompts to submit a case.
"Versioning" is a process that tracks changes to a document and records who made the
modification. This enables a user to reverse to a previous version of the file without
having to save multiple copies. Box provides versioning for files and will keep up
to 100 versions, which are accessible through the Box web interface. See the article Box.com: Organizing and Tracking Content: Accessing Version History for details.
Yes. While the University of Utah does not allow sharing via unauthenticated links, you can share with people outside
the university. They need to be added as collaborators to the folder you are sharing.
They will be required to set up a free box account if they do not already have one.
This provides user authentication, which meets FERPA and HIPAA security requirements.
You are able to collaborate with people outside the University of Utah. External users
must have a personal Box account to be added as collaborators.
