Sales & Public Notice Assistant

BridgeTower Media is looking for a Sales & Public Notice Assistant. This role is focused on excellent customer and providing support to the public notice, sales and event team. The ideal candidate will have excellent written and verbal communication skills, the ability to multitask successfully and be able to work independently (remotely) and in an office environment, always achieving daily goals.

What skills does the job require?

  • Proven track record of inbound and outbound customer centric support experience: 1-3 years general office/data entry, customer service, call center, or account management.
  • The ideal candidate must be experienced working in an office and remote (hybrid position). The role is in the Rochester NY office two days a week, remote three days a week and assists on site at various Rochester event locations.
  • Excellent written and verbal communication skills. Proficiency at proofreading through remarkable attention to detail. Strong typing skills (80 WPM minimum).
  • Able to manage multiple priorities within a fast-paced, deadline driven, multidiscipline, structured environment.
  • Independent self-starter who can also be a team player.
  • Strong relationship building skills.
  • Solid knowledge of MS Office and the ability to learn billing, project tracking and other systems as required.
  • Reliable home internet connection with minimum 50mbps up/10mbps down

What will you be Responsible for?

Sale, Events and Public Notice Responsibilities:

  • Learning the order entry system (Launch Pad). This role also mails billing and affidavits to clients.This includes both order entry, billing, running affidavits and reporting. This role also mails billing and affidavits to clients.
  • Must become a NY licensed notary. This requires a short class and passing a NY State notary test.
  • Contact for all public notice clients. This includes phone calls, emails, working closely with the public notice HUB in Missouri and other duties as assigned. This role backs up other public notice coordinators in various BTM markets as needed.
  • Assist events team with badge printing and stuffing, event coordination, event set up and break down, show flow coordination, sponsor deliverables and other duties as assigned.
  • Assist the sales team with researching clients, updating sales and event promotional pieces, trafficking sales or event materials, assisting with special projects and other duties as assigned.
  • Assist the editorial team with data entry, coordinating honoree photos and deliverables to create print and digital content and other duties as assigned.
  • Coordinate office Duties as needed, including ordering supplies, processing mail and greeting customers.
  • This role requires a great deal of multi-tasking, attention to detail and the ability to work with various staff members and departments in multiple locations. Meeting deadlines and providing accurate work is critical.
  • Ideal candidate must be able to work independently.
